We only collect personal data that you choose to give us, or that is generated automatically as you use our website.

When you contact us

Through our Contact Us form, we collect:

  • your postcode
  • the services you’re interested in
  • the message or question you send us

When you apply for a job

Through our Job Application form, we collect:

  • your name
  • your postal address
  • your phone number
  • your email address
  • your CV, which may contain further personal data you choose to include (such as your work history, qualifications and references)

When you browse our website

Like most websites, we automatically collect some technical information when you visit, such as your IP address, browser and device type, and the pages you view, using cookies and similar technologies. See “Cookies” below.

How we use your personal data, and our legal basis

  • Enquiries (Contact Us form): to respond to your question, provide information about our care services, and follow up where you’ve asked us to. We rely on your consent (given when you agree to this policy on the form) and our legitimate interest in responding to enquiries about our services.
  • Job applications: to assess your application, contact you about the role, and, if successful, take the steps needed to offer you employment. We rely on our legitimate interest in recruiting staff and, where an offer is made, on the steps necessary to enter into a contract with you.
  • Website analytics and cookies: to understand how our website is used and to improve it. We rely on your consent, given through our cookie settings.
  • Legal and regulatory compliance: where we are required to keep or share information by law or by our care regulator, the Care Quality Commission (CQC).

A note on sensitive and third-party information

Sometimes the services you’re interested in, or your message, may indicate that an enquiry relates to the health or care needs of someone else, such as a relative. We only use this information to make sure your enquiry reaches the right person and to respond appropriately; we don’t use it for any other purpose. If you’re enquiring on behalf of someone else, please only share the information necessary for us to help you, and make sure you have their permission to do so where appropriate.

Who we share your data with

We do not sell your personal data. We may share it with:

  • Staff and management at Aceso Home Care who need it to respond to your enquiry or application.
  • Service providers who help us run our website and business, such as our website hosting provider, our form provider (Gravity Forms) and our email provider — all of whom are only permitted to use your data to provide these services to us.
  • The NHS, Cheshire East Council, or other health and social care professionals, but only if you go on to receive care from us and only where necessary to arrange or deliver that care.
  • Regulators or authorities, such as the Care Quality Commission (CQC), where we are required to by law.

Where your data is stored

Your personal data is stored on servers located in the United Kingdom or European Economic Area. Where we use a service provider based outside the UK/EEA, we make sure appropriate safeguards are in place to protect your data, in line with UK data protection law.

How long we keep your data

  • Contact Us enquiries: kept for as long as needed to respond to you and for a reasonable period afterwards (normally no longer than 12 months), unless you become a client of ours, in which case it forms part of your client record.
  • Job applications: kept for up to 6 months after the recruitment process ends, so we can consider you for other suitable vacancies, unless you ask us to delete it sooner, or you’re successful, in which case it’s kept as part of your employment record.

We review what we hold regularly and delete or anonymise personal data once we no longer need it.

Your rights

Under UK data protection law, you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate or incomplete data
  • Ask us to delete your data, in certain circumstances
  • Ask us to restrict how we use your data
  • Ask us to provide your data to you, or another organisation, in a portable format
  • Object to us using your data, including for direct marketing
  • Withdraw your consent at any time, where we rely on consent

If you’re unhappy with how we’ve handled your data, you also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or by calling 0303 123 1113.
